This position is responsible for providing outstanding phone and in-person customer service to our guest, customers and employees and providing administrative support to the Senior Management team. Primary
Responsibilities:Receptionist:o Professionally answers each phone line, screening the caller and forward to the appropriate person/department.o Professionally greet and direct walk in visitors.o Processes daily incoming mail and sort for company-wide distribution and processes outgoing mail, including taking to drop box/post office if necessary. o Receives all UPS, Fed-Ex, USPS deliveries and distributes to the addressee.o Manage postage meter.o Facilitate company office supply inventory/ordering.o Act as point person for building maintenance. Senior Management Team Administrative Assistanto Monthly client reporting, including trend/industry reporting.o Monthly Board of Director reporting for CEO.o Expense reporting for all Senior Managers.o Service Survey Score data and reporting.o Arrange and book company travel, including conference registrations.o Plan and orchestrate company meetings and events.o Facilitate client/employee cards and gifts.o Assist the Human Resources Department with recruiting efforts, data entry and filing.o Assist with processing incoming utility bills.o Assist with vendor billing.o Facilitate the Bucks program.o Manage the Executive Inbox.o Manage and process certificates.o Liaison for Corporate Housing President. o Various research/department projects. Qualifications: o Must be able to maintain 100% confidentiality at all times.o Must be organized, self-motivated, detail oriented person who can work in a fast paced front desk environment while multitasking.o Must have excellent customer service skills, possess interpersonal and human relation skills and consistently model those behaviors.o Must have the ability to get along well with co-workers and above all maintains a positive attitude.o Must have excellent telephone skills.o Prior reception experience, with previous multi-line phone system experience desired.o Prior experience as an Administrative Assistant for a team of Senior Managers. Education, Training and Certification:o Advanced skill/knowledge of MS Office products including experience with scheduling meetings using MS Office Outlook.o Requires an AA Degree in Business or equivalent experience. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
